Electronic Records and Signature Disclosure
Cybex LLC, doing business as Cybex Solutions ("Cybex") uses Cybex Sign to deliver documents and to obtain signatures electronically. Please read this disclosure before you agree to transact electronically.
1. Consenting to electronic records and signatures
Cybex is asking for your agreement to receive the documents in this transaction electronically and to sign them with an electronic signature, rather than on paper.
Giving that agreement is voluntary. If you would prefer to complete this transaction on paper, you may say so instead of continuing — contact the Cybex representative who sent you this request, or write to the address at the end of this disclosure. Choosing paper will not affect the terms Cybex has offered you.
2. What you are agreeing to
If you continue, you are agreeing that:
- Cybex may provide the documents in this transaction to you electronically rather than on paper.
- An electronic signature you apply through Cybex Sign is intended to have the same effect as a signature you write by hand.
- Records of this transaction may be created, stored and retained in electronic form.
3. Reading the documents before you sign
You can read every document in full before signing. Cybex Sign shows the complete document, and you may move through it at your own pace, enlarge it, and re-read any part of it.
You are not required to sign. You may close the request at any point before you select Finish & Sign, and you may decline to sign and give a reason.
4. Getting and keeping copies
Before signing, you can download or print each document from the signing screen.
After all parties have signed, Cybex Sign produces:
- the executed document, containing the agreement with the signatures applied; and
- a certificate of completion, which records who signed, when, how their identity was verified, and the cryptographic fingerprint of each file.
Both are available to download. Cybex recommends that you save a copy for your own records rather than relying on continued access through Cybex Sign.
5. Asking for a paper copy
You may ask Cybex for a paper copy of any record provided to you electronically in this transaction. Cybex does not charge for this. Write to sign@cybexs.com with the envelope identifier shown on your signing screen and in your email.
6. Withdrawing your agreement
You may withdraw your agreement to transact electronically at any time before you sign, by closing the request and contacting Cybex. Withdrawing does not undo anything you have already signed. If you withdraw before signing, Cybex will arrange another way to complete the transaction, or will not proceed.

7. Keeping your contact details current
Cybex sends signing requests, verification codes and completed documents to the email address this request was sent to. If that address changes, tell your Cybex representative or write to sign@cybexs.com, so that Cybex can reach you.
8. What you need in order to use Cybex Sign
To access and retain the electronic records in this transaction you will need:
- a device with an internet connection;
- a current version of a common web browser (Safari, Chrome, Edge or Firefox, updated within roughly the last two years) with cookies and JavaScript enabled;
- an active email account, and the ability to receive email from Cybex;
- the ability to view and save PDF files; and
- either a printer or somewhere to save an electronic copy, if you want to keep one.
If Cybex changes these requirements in a way that creates a material risk that you could not access or retain your records, Cybex will tell you.
9. What Cybex Sign records when you sign
To produce a reliable record of this transaction, Cybex Sign records:
- the email address the request was sent to, and the fact that a one-time code sent to it was entered correctly;
- the date and time of each step, generated by Cybex Sign servers in Coordinated Universal Time;
- the internet (IP) address your requests came from and the browser and device type reported by your browser;
- the name and title you provide, and your confirmation that you are authorised to sign;
- your agreement to this disclosure, and your confirmation of intent at the moment you sign;
- the signature you draw or type; and
- a SHA-256 fingerprint of each document, used to show whether a file has changed.
This information is collected to verify who is signing, to produce a record of the transaction, to protect against fraud, and to support Cybex's records of its agreements. It is described further in the Cybex Sign Privacy Notice. Cybex does not sell it and does not use it for advertising.
Cybex Sign does not use browser fingerprinting, does not track you across other websites, and does not record your activity beyond the events listed above.
10. How long records are kept
Completed agreements and their evidence records are retained for as long as Cybex may need them in connection with the agreement, and are not deleted as a routine matter.
